Solo Meeting Minutes

October 13, 2015

In attendance:  Gretchen Everett, Tim Weidemann, Keith Brown, Mike and Carol Leuty, Ron and Alyson Bauer, Charly Spyksma, Karl and Amy Coleman, Karen Babb. Bud Bohrer.

Last month’s minutes review - Moved and approved with minor edits.


NWR Board Report (Gretchen Everett) – no action at the meeting.

Treasurer’s Report (Kristi Brown) – We have a positive balance. Gretchen handed out a printed summary for discussion.

Reconciled with torque Steerers for Emerald Downs event at the beginning of the season. Keith requested that we make sure we get any items that need to be dealt with and or set aside for future payments be clearly communicated to Kristi, our Treasurer.  Gretchen commented that since Keith was presenting and attending in Kristi’s absence, she thought the information would be brought back to her. She promises to do a better job of communicating directly with Kristi in the future.

It was suggested that we need to start doing check and balance on event entries.  Should make a logging sheet to track the pre-registered entries and the First Gear entries.   Possibly have a sheet of pre-registered entrants to use as a ledger. At this point in time, we have no way of tracking the event income compared to the number of entrants and often times it doesn’t seem to add up correctly.  We’ve got to do a better job of tracking exactly who was registered for each event.

It was also suggested that we review the template for course maps, but Gretchen reminded the group that his will discussed at a different point on the agenda.

Solo Development Committee Report (Keith Brown) –no action this month

WWSCC Report (Keith Brown) – One last event for WW in Shelton. Dog Dash event held the 24th. They still need a treasure for the club.

Equipment Report: (Mike Leuty) – Block Rockers transferred to Karl for tuning. Two sided and Farm Tech display for adjustment to Charley, and AED to Gretchen for winter storage. Radios pulled from the bus for the winter to remove batteries and testing in the spring. Kevin reports that there might be a leak on the brake system.  He had to fill the master cylinder before bringing it to Bremerton. Will have it checked when oil change. Fresh wrist bands have arrived.


Event #8 Recap – Thank you to our Event Chairs, Mike and Carol!  Challenging course presented by a new designer. Although the course may have created frustration for several entrants, Gretchen reminded the group that we must all remain appreciative of those who volunteer to design a course. One of the hardest positions to fill at any events. The course only allowed two cars on course at a time, so things started out a little slow, but everyone put the effort in during the afternoon session to keep things running on track and the event finished at a decent time.


Solo Bus five year plan – retroactive for the 2015 season? – Motion to put 1$ per entry for all events in the 2015 season in savings for bus replacement, and 2$ per entry for all events going forward. This would be for regional championship series events only. Moved and approved.  Gretchen will communicate with Kristi.


2015 NOTY & WOTY – Novice of the Year and Worker of the Year.  Gretchen has received three nominations for Worker of the Year, and one for Novice of the Year.  Any new nominations must be presented by the December Solo meeting so a vote can take place in time to prepare trophies for the Banquet in January.

Coneheads Banquet – working together with the region to do a joint banquet. More information will be presented next month.

2016 Schedule – Working on our schedule. Event in Packwood have been finalized and Gretchen has been working with other local clubs (WW, and BSCC) to finalize BMP dates.

Updated Specialty Chief and Chair worksheets – During this off season Gretchen will be updating all Chief of Specialty position sheets.  She will define the responsibilities of each position as clearly as possible. If you are a Chief or have been a Chief and have ideas that you feel with help clarify your position, please e-mail Gretchen.

2016 Specialty Chiefs – Time to step up to a chief position let Gretchen know your interest.  Right now we have Joel Ferguson who has volunteered for the Stock half of Chief of Workers, and Tim Weidemann who has volunteered to fill the Chief of Course position.

Rules process starts next month – Please remember that the rules proposal process starts next month.  All new proposals must be presented at the November meeting.  

National Convention - The SCCA National Convention is being held in January.  Keith reminded the group that there is a very solid agenda that focuses on things our region is trying to accomplish right now, mainly recruited and future growth of local regions.  He suggested it may be a good year to send more than one person to attend.  Gretchen has already expressed interest in attending since she will be continuing at our Solo Director for 2016.  Tim Weidemann, our Secretary would also be interested in attending with her.
